Event mobility as one agreed timetable

An event is a timetable of a hundred movements. We bring them together: arrival by arrival, departure by departure.

Reality

Many journeys. One agreed sequence.

At an event, arrivals, journeys in between and departures all mesh together. Driversline coordinates vehicles, times and responsibilities centrally and adapts the sequence flexibly as things change. Set contacts make sure everyone involved stays on the same footing. That keeps your guests' mobility organised throughout.

  • Flight and rail arrivals shift, often at short notice.
  • Speakers, board members and delegates do not follow the same schedule.
  • Some vehicles are needed continuously, others only in certain time windows.
  • Access roads, stopping points and accreditations are limited.

    • an emergency number for the duration of the event, including outside set service hours
    • coordination with chauffeurs and partners, our own journey monitoring
    • handling of short-notice changes
    • optional status and arrival notifications, live vehicle tracking
    • on-site coordination or a transport manager, where planned in

On larger projects we plan in reserves and fallback solutions from the start. Together we agree what makes sense and is available for the place, the period and the sequence, including clear escalation paths and stress tests before the event.

Process

Working together in four steps.

From the first request through to delivery, one central contact who knows your project stays with you. Questions about vehicles, times or responsibilities are settled before the first journey starts.

Extensive timetables can be prepared more precisely when places, time windows and guest numbers are settled early. Short-notice requests are looked at too; which vehicles and reserves are available then depends more on the venue and the period.

  1. Request & assessment

    Recording the period, places, guest numbers, guest groups and how far planning has come.

  2. Concept & costing

    Costing the vehicles needed, time windows, routes, shuttle models and open assumptions transparently.

  3. Detailed planning & briefing

    Agreeing timetables, guest lists, meeting points and vehicle assignments, briefing chauffeurs and partners.

  4. Delivery & close

    Handling changes through set contacts, then billing together and reviewing afterwards.

Own resources and vetted partners.

In Hamburg and at our operational locations, Driversline works with its own resources. For additional demand, selected and vetted partners supplement the fleet. Agreed standards of quality and service apply throughout Germany.

All coordination runs centrally through Driversline. For you it stays with one set contact, no matter how many vehicles, chauffeurs or partners are involved.

Fleet

Vehicles by their role in the sequence.

The fleet is a tool of the concept, not an end in itself. We scale in every direction: our own fleet, partner fleets and hired vehicles as the client wishes.

Luggage vehicles supplement arrivals and departures with a high volume of luggage, or where passengers and luggage are handled separately.

  • Starting point: an international congress with more than 1,000 delegates.
  • Scope: a combined coach, van and sedan solution across several phases of the programme.
  • Challenge: arrival, congress shuttle, return journeys, dinner journeys, support for the management team and individual departures all had to mesh together.
  • Solution: coaches and vans as the shuttle for delegates, sedans and vans for the management team; centrally agreed from arrival through the congress and dinner programme to individual departures.

Also from practice: for an evening event in Berlin, 14 V-Class vehicles brought 79 guests to the venue on a staggered schedule. The return was flexible, on call within the agreed window.
